Privacy Policy

Effective Date: 09/14/2026

Heartland Grill Cleaning LLC ("Heartland Grill Cleaning," "we," "us," or "our") provides mobile grill and outdoor kitchen cleaning services in the Oklahoma City metro area. This Privacy Policy explains what information we collect through heartlandgrillcleaning.com, how we use it, and the choices you have.

We keep this simple on purpose. We collect only what we need to schedule your service and stay in touch with you about it.

1. Who We Are and Where We Operate

Heartland Grill Cleaning is a locally owned and operated business based in Oklahoma City, Oklahoma. We provide services exclusively within the State of Oklahoma, including Oklahoma City, Edmond, Norman, Nichols Hills, Yukon, Mustang, and surrounding communities. This website is intended for residents of Oklahoma and is not directed to individuals outside the United States.

2. Information We Collect

Information you provide to us

When you request an appointment, complete a form, text us, or otherwise contact us, we may collect:

  • Your name

  • Your email address

  • Your phone number

  • Your city or service location

  • Any details you choose to include in your message or appointment request, such as the type of grill you own or notes about access to your property

Information collected automatically

Like most websites, ours collects standard technical information when you visit — such as IP address, browser type, device type, pages viewed, and the site you came from. This information is collected by our website platform and is used in aggregate to understand how visitors find and use the site.

Information we do not collect

We do not accept payments through this website, and we do not collect or store credit card, debit card, or bank account information here. Payment for services is collected in person at the time of service using a third-party card reader, and that provider handles your payment information directly under its own privacy policy. We never see or retain your full card number.

We also do not collect Social Security numbers, driver's license numbers, financial account details, or any other sensitive personal information.

3. How We Use Your Information

We use the information you provide to:

  • Respond to your questions and provide estimates

  • Schedule, confirm, remind you of, or reschedule your appointment

  • Contact you before and after service about access, timing, or results

  • Follow up after service and invite you to leave a review

  • Maintain records of the work we have performed for you

  • Send occasional service reminders or offers, if you have agreed to receive them

  • Improve our website and our services

  • Comply with applicable law

We do not use your information for automated decision-making or profiling, and we do not sell it.

4. Text Messaging and Mobile Numbers

We use a business text messaging service to communicate with customers. We ask for and receive your permission before we save your mobile number for text messaging, and you can withdraw that permission at any time.

  • What we send: conversational text messages concerning inquiries, estimates, scheduling, appointment reminders, service updates, customer support, and follow-ups.

  • Message frequency: varies based on your service activity. Message and data rates may apply.

  • To opt out: reply STOP to any message from us. You will receive one confirmation message and no further texts.

  • For help: reply HELP or contact us using the information at the end of this policy.

  • Note: Consent to receive text messages is not a condition of purchasing services.

SMS opt-in data and consent will not be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent may be shared only with service providers necessary to operate our text-messaging program, including our text-messaging service provider.

At launch, text messages will be limited to customer inquiries, estimates, scheduling, appointment confirmations and reminders, service updates, customer support, and service follow-ups. Wedo not plan to send advertising or promotional text messages at this time.

5. How We Share Information

We do not sell, rent, or trade your personal information. We share it only in these limited situations:

  • Service providers. We use trusted third-party companies to operate our business — including but not limited to our website platform, our online scheduling system, our text messaging provider, and our in-person payment processor. These companies receive only the information they need to perform their function and are not permitted to use it for their own purposes.

  • Legal requirements. We may disclose information if required by law, subpoena, or court order, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

  • Business transfer. If Heartland Grill Cleaning is sold or reorganized, customer information may transfer as part of that transaction. Any successor would remain bound by this policy.

As stated above, mobile opt-in data and text messaging consent are never shared with any third party.

6. Cookies and Website Analytics

Our website uses cookies and similar technologies. Some are necessary for the site to function properly. Others help us understand how visitors use the site so we can improve it — for example, which pages are most visited and how people arrived.

Most web browsers let you refuse or delete cookies through your browser settings. Disabling cookies may affect how parts of the site function.

7. Photographs of Serviced Equipment

Before-and-after photographs are an important part of how we show our work. We may photograph the grill or outdoor kitchen we service and use those images on our website, social media, and marketing materials. These photos show equipment only. We do not publish your name, address, or identifying features of your home in connection with them without your separate permission, and you may ask us not to photograph your equipment at all — just tell us before or during your appointment. See our Terms & Conditions for more detail.

8. Reviews and Testimonials

If you post a review on Google or another public platform, that review is public and is governed by that platform's terms, not this policy. We may display publicly posted reviews on our website, typically using your first name and last initial as shown on the original review.

9. How Long We Keep Your Information

We keep contact and service records for as long as you remain a customer and for a reasonable period afterward, so we can service your equipment again, honor any warranty, and meet our tax and recordkeeping obligations. You may ask us to delete your information at any time using the contact details below, and we will do so unless we are required to retain it.

10. Your Choices and Rights

  • Email. You can unsubscribe from marketing emails using the link at the bottom of any message.

  • Text messages. Reply STOP to opt out at any time.

  • Access, correction, and deletion. You may ask us what information we have about you, ask us to correct it, or ask us to delete it. Contact us using the information below and we will respond within a reasonable time.

We honor these requests as a matter of practice for all of our customers, regardless of where they live.

11. How We Protect Your Information

We use reasonable administrative and technical safeguards to protect the information we collect, including secure, reputable third-party platforms for our website, scheduling, and messaging. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

12. Children's Privacy

Our website and services are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we will delete it.

13. Links to Other Websites

Our site may link to third-party websites, including our social media profiles and review platforms. We are not responsible for the privacy practices or content of those sites, and we encourage you to review their policies.

14. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of the page. Material changes will be noted on this page. Your continued use of the website after an update means you accept the revised policy.
